Learn how to organize and maintain your content library for better proposals

Your Asset Library

The asset library is your organization's knowledge base. Well-maintained assets lead to better AI-generated proposals and faster turnaround times.

Accessing Assets

Navigate to Assets in the sidebar to see your library.

Views

List View - See all assets in a table format
Grid View - Visual cards with previews

Sorting

Sort assets by:

  • Name (A-Z or Z-A)
  • Date added
  • Last updated
  • Type
  • Business line

Filtering

Filter to find specific assets:

  • By type (CV, Project Sheet, etc.)
  • By business line
  • By date range
  • By tag

Searching Assets

Use the search bar to find assets by:

  • Name or title
  • Content within the asset
  • Tags
  • Team member name

Viewing Asset Details

Click any asset to see:

  • Full content preview
  • Metadata and tags
  • Usage history (which proposals used it)
  • Related assets

Editing Assets

Quick Edit

For minor changes:

  1. Click the asset
  2. Click Edit
  3. Make changes
  4. Save

Full Edit

For comprehensive updates:

  1. Open asset details
  2. Click Edit Full Document
  3. Update content, tags, metadata
  4. Save changes

Organizing Assets

Tags

Add tags for easy discovery:

  • Technology tags (Python, AWS, etc.)
  • Industry tags (Healthcare, Government, etc.)
  • Custom tags

Categories

Organize by category:

  • Create custom categories
  • Move assets between categories
  • Bulk categorize

Business Lines

Associate assets with business units:

  • Each asset can belong to multiple lines
  • Filter proposals by relevant assets
  • See Business Lines

Asset Quality

Best Practices

  1. Keep current - Update CVs and certs regularly
  2. Be specific - Detailed project sheets work better
  3. Use keywords - Help AI match to requirements
  4. Standardize format - Consistent structure helps

Quality Indicators

Assets show quality indicators:

  • Green - Complete and current
  • Yellow - May need updates
  • Red - Outdated or incomplete

Bulk Operations

Bulk Upload

Upload multiple assets at once:

  1. Click Bulk Upload
  2. Select multiple files
  3. Set common attributes
  4. Upload

Bulk Edit

Update multiple assets:

  1. Select assets with checkboxes
  2. Click Bulk Edit
  3. Apply changes to all selected

Bulk Delete

Remove multiple assets:

  1. Select assets
  2. Click Delete Selected
  3. Confirm deletion

Asset Usage

Tracking Usage

See where assets are used:

  • View proposal history
  • See which sections used it
  • Track performance

Usage Reports

Generate reports showing:

  • Most used assets
  • Unused assets
  • Assets by win rate

Maintenance

Regular Reviews

Schedule regular asset reviews:

  • Update team CVs quarterly
  • Refresh project sheets annually
  • Verify certificate expiration dates

Archiving

Archive outdated assets:

  1. Select the asset
  2. Click Archive
  3. Asset moves to archived section

Archived assets:

  • Don't appear in AI generation
  • Can be restored if needed
  • Maintain history
