Platform Feature Reference

One updateable reference for all current platform features and how to use them

Purpose of this file

This file is the single source of truth for the Help Center and AI help bot knowledge.

If a feature changes, update this file first.

Bot response style rules

When this file is used by an AI help bot, follow these rules:

  1. Use clear, human, conversational English.
  2. Keep answers practical and direct.
  3. Do not use markdown emphasis symbols like * unless the user explicitly asks for markdown formatting.
  4. Do not use em dashes unless the user explicitly asks for them.
  5. Use plain hyphens for lists when needed.
  6. If a feature is unavailable for the user plan, say that clearly and suggest an upgrade path.

Core navigation and workspace

Dashboard overview

What it does:
Gives a live snapshot of active RFPs, proposals in progress, deadlines, win rate, and recent activity.

How to use:

  1. Open Dashboard from the left navigation.
  2. Review quick action cards to start work fast.
  3. Use the stat cards to jump directly into RFPs, proposals, assets, templates, and team pages.

Global search and keyboard shortcuts

What it does:
Lets users search records quickly and open results without leaving the current page.

How to use:

  1. Press Ctrl/Cmd + K anywhere in the dashboard.
  2. Type a search phrase.
  3. Select the result to open the related record.

Contextual Help panel

What it does:
Shows searchable help links based on the page the user is currently on.

How to use:

  1. Click the floating Help button in the dashboard.
  2. Search by keyword or use related articles.
  3. Open full Help Center pages for detailed guidance.

RFP features

RFP upload

What it does:
Uploads one or more RFP files and creates an RFP record.

How to use:

  1. Go to RFPs.
  2. Select Upload RFP.
  3. Add PDF or Word files and confirm upload.

AI RFP analysis

What it does:
Extracts requirements, key dates, evaluation criteria, deliverables, and risk signals.

How to use:

  1. Open an uploaded RFP.
  2. Run or review the AI analysis.
  3. Confirm extracted data before proposal generation.

Requirement extraction and tracking

What it does:
Creates structured requirement records from the RFP for response tracking.

How to use:

  1. Open the RFP detail page.
  2. Review requirement list and statuses.
  3. Use requirement links while drafting proposal sections.

Go or No-Go decision support

What it does:
Provides structured decision support to determine if the opportunity should be pursued.

How to use:

  1. Open an analyzed RFP.
  2. Review alignment, risks, and effort estimate.
  3. Set decision status to Go, No-Go, or in-progress review.

Government RFP feed

What it does:
Surfaces government opportunities and import options for pipeline building.

How to use:

  1. Open Government RFPs.
  2. Filter opportunities.
  3. Import qualified opportunities into your working pipeline.

Add supporting RFP documents

What it does:
Allows additional supporting files to be attached after initial upload.

How to use:

  1. Open an existing RFP.
  2. Choose Add Documents.
  3. Upload addenda, appendices, or revised instructions.

Proposal features

Proposal generation wizard

What it does:
Guides teams through setup, section planning, assets, pricing, and strategy before generation.

How to use:

  1. Open Proposals and select Generate.
  2. Complete each setup step.
  3. Generate section drafts.

AI section generation

What it does:
Builds proposal sections from RFP context, business profile, templates, and assets.

How to use:

  1. Open a proposal section.
  2. Select Generate.
  3. Review output and refine before approval.

Section editor and organization

What it does:
Supports section creation, reordering, editing, and structure control.

How to use:

  1. Open proposal editor.
  2. Add or rename sections.
  3. Drag and drop to reorder and keep flow aligned to submission requirements.

AI text refinement modes

What it does:
Refines text using modes like improve, simplify, shorten, expand, persuasive, technical, and executive.

How to use:

  1. Select section text or use section refine actions.
  2. Choose a refinement mode.
  3. Compare output and apply accepted version.

Requirement response mapping

What it does:
Maps each RFP requirement to a proposal response for compliance tracking.

How to use:

  1. Open Requirements inside a proposal.
  2. Link requirements to sections.
  3. Mark completion and track unresolved items.

Comments and collaboration on sections

What it does:
Allows team members to comment, resolve, and reopen discussion threads per section.

How to use:

  1. Open a section.
  2. Add comments on specific content.
  3. Resolve or reopen comments during review cycles.

Version history and restore

What it does:
Stores proposal versions and allows rollback to a prior version.

How to use:

  1. Open proposal version history.
  2. Compare version snapshots.
  3. Restore a previous version if needed.

Quality gate scoring

What it does:
Checks quality and readiness signals before final export or submission.

How to use:

  1. Run Quality Gate from the proposal view.
  2. Address flagged issues.
  3. Re-run until acceptable.

Team matching

What it does:
Matches team members and assets to requirement needs.

How to use:

  1. Open team matching from proposal or wizard flow.
  2. Review suggested contributors.
  3. Assign contributors and confirm coverage.

Pricing estimator

What it does:
Helps build pricing ranges and structured estimates for proposal pricing sections.

How to use:

  1. Open pricing tools from proposal flow.
  2. Enter assumptions and labor details.
  3. Use output in pricing section and final review.

Proposal pipeline tracking

What it does:
Tracks proposal status from draft to submitted, won, or lost.

How to use:

  1. Open proposal pipeline view.
  2. Update stage as work progresses.
  3. Use filters for active and late-stage opportunities.

Outcome analysis and win-loss insights

What it does:
Captures final outcome and generates insights to improve future bids.

How to use:

  1. After decision, open outcome analysis.
  2. Mark won or lost with notes.
  3. Review generated insights and reuse recommendations.

Export options

What it does:
Exports polished documents in multiple formats.

How to use:

  1. Open proposal export menu.
  2. Choose standard export, enhanced export, premium export, PDF, or DOCX.
  3. Download and run final compliance check before submission.

Asset library features

Asset upload and parsing

What it does:
Stores and analyzes organizational knowledge assets for reuse.

How to use:

  1. Open Assets.
  2. Upload files such as CVs, project sheets, certificates, and boilerplate documents.
  3. Confirm parsed metadata and tags.

Asset types and categorization

What it does:
Supports major asset classes and structured categorization.

How to use:

  1. Choose the correct asset type on upload.
  2. Assign categories and business lines.
  3. Save for retrieval in proposal generation.

Asset detail management

What it does:
Lets users edit metadata, associations, and quality of each asset.

How to use:

  1. Open an asset detail page.
  2. Update metadata and tags.
  3. Save and re-run analysis if source text changes.

Asset to business line linking

What it does:
Associates assets to one or more business lines for precise retrieval.

How to use:

  1. Open asset business line settings.
  2. Select linked business lines.
  3. Save and verify in filtered asset views.

Template features

Template management

What it does:
Creates reusable proposal structures and styling patterns.

How to use:

  1. Open Templates.
  2. Create or upload a template.
  3. Set default structure and naming.

Template variable system

What it does:
Defines placeholders that auto-fill with proposal, organization, or project data.

How to use:

  1. Open template variables.
  2. Add variable keys and descriptions.
  3. Test render using a sample proposal.

Template analysis

What it does:
Analyzes uploaded templates and maps recognized sections/fields.

How to use:

  1. Upload a template file.
  2. Run analysis.
  3. Correct section mappings as needed.

Template marketplace

What it does:
Provides ready-to-use template options for common proposal scenarios.

How to use:

  1. Open template marketplace.
  2. Preview available templates.
  3. Import and customize for your organization.

Table section templates

What it does:
Supports reusable table formats in proposal sections.

How to use:

  1. Open table template settings.
  2. Configure columns and layout.
  3. Apply in sections requiring structured tabular output.

Team and collaboration features

Team invitations

What it does:
Invites users to the organization with role-based access.

How to use:

  1. Open Team.
  2. Send invitation email.
  3. Assign role at invite time.

Roles and permissions

What it does:
Controls what users can view, edit, approve, and administer.

How to use:

  1. Open team member record.
  2. Set role and access level.

Approval workflows

What it does:
Provides multi-level approval gates before final submission.

Organization profile

What it does:
Stores core company details used in generated proposal content.

Website profile import

What it does:
Extracts organization profile signals from company website content.

How to use:

Business lines

What it does:
Creates service line segmentation for assets, opportunities, and proposals.

What it does:
Configures fonts, size, and colors for exports by business line.

How to use:
